Guide 1.2 · Prepare the stocktake

The item list

Your item list must know everything in store.

A manager reviews the item list on a laptop, in a shop’s stockroom

Why it matters

When a counter scans a code, Quantinvo looks it up in your item list. If it finds it, the item is counted under its name, with its price. If not, the code comes up as unknown: someone will have to work out by hand which item it is, after the stocktake. An up-to-date list means a report you can read without fixing.

What often happens

New items forgotten. The item arrived before it was created in the list. It’s on the shelf, it may be selling, but the software doesn’t know it.

Items deleted too early. The item is no longer ordered and was removed from the list, but three are left in the stockroom.

One product, several names. Each store has its habits: the same item has a different name or code from one store to another, and reports can no longer be compared.

What to do

Create new items. With their barcode, before they reach the shelf.

Keep discontinued items. As long as some are left in store, they stay in the list.

Align across stores. The same product has the same code everywhere. The name may vary, the code never.

Import the updated list. Export it from your software and import it into Quantinvo the day before, with the other preparations (see my stocktakes).
